Workspaces, projects, teams and roles

How a workspace is organised, inviting people, the owner, admin, editor and viewer roles, transferring ownership, and teams that see the projects they work on.

A workspace is where your work lives: its projects and channels, the platform accounts they post to, its credits and billing, and its people. Each person has one account and can belong to several workspaces, with a role in each. Roles decide what a person may do; teams decide which projects they see.

How a workspace is organised#

Workspace ── members (owner, admin, editor, viewer) · teams · credits and billing · connected accounts
└── Project ── a brief and its niche research
└── Channel ── its kit, brand suite, voice, schedule, linked accounts
└── Episodes ── each with its posts on every platform
  • Projects group channels around one brief. A project holds several channels — from different formats too.
  • Channels belong to one project; each has its own look, voice, schedule and accounts.
  • Connected accounts belong to the workspace; each channel chooses which account it posts as, platform by platform.
  • Credits and billing belong to the workspace: every job is paid from its balance.

The workspace switcher at the top of the sidebar shows the current workspace and its plan, and lists every workspace you belong to; Create workspace at its foot makes a new one. You can create up to 10 workspaces of your own. A new workspace starts on the Trial. The Trial's credits are given once per person — to the first workspace you created, once your email is confirmed. They are not given to a throwaway email address, or when one network has already started several trials that month; the workspace's overview then says so.

Roles#

Every member has one of four roles in a workspace.

What they may doViewerEditorAdminOwner
See projects, channels, episodes, posts, usage and the credit historyYesYesYesYes
Create and change projects, channels, episodes and schedules; hold episodes back—YesYesYes
Start work that spends credits: episodes, kits, brand suites, translations, setups—YesYesYes
Connect platform accounts, link them to channels, post, approve episodes—YesYesYes
Invite and remove people, change roles, run teams——YesYes
Change workspace settings, disconnect accounts, set a channel's spending cap——YesYes
Make API keys and webhooks——YesYes
Change the plan, buy credits, edit billing details, set the workspace's spending cap, cancel———Yes
Make someone an owner, transfer ownership, delete the workspace———Yes

The app shows each role in a line:

  • Owner: everything, including billing, ownership and deleting the workspace.
  • Admin: members, teams, settings, API keys and webhooks — everything but billing.
  • Editor: create and run projects, channels and episodes, and publish them.
  • Viewer: read-only: sees projects, episodes and usage.

A workspace always has at least one owner. Only an owner can change an owner's role, remove an owner, or invite or make another owner. When an action needs a role you do not have, the app says so ("Your role (viewer) cannot do that here."); a page you cannot open says "Your role cannot open that page".

Invite people#

Admins and owners invite people from Settings → Members & teams.

  1. Under Invite people, type the Email address and choose the Role (Editor unless you change it).
  2. Tick teams under Add to teams (optional) if you have any.
  3. Press Send invitation. The person gets an email with a link that works for 7 days.

The person opens the link and sees who invited them, the workspace and the role. They press Sign in to accept or Create an account, using the address the invitation was sent to — an invitation works only for that address — and then Accept and join. Signed in as someone else, they are offered Sign out and switch.

Pending invitations are listed under Pending invitations, with who sent each and when its link expires. Resend sends a fresh link (the earlier one stops working); Revoke turns it off.

Seats#

Each plan includes a number of seats — the members of the workspace plus its pending invitations (see Pricing). Members & teams shows how many are used. When all are in use, Send invitation is unavailable until a seat frees: revoke an invitation, remove a member, or upgrade. An expired invitation no longer holds a seat.

Change a role, remove someone, leave#

  • Change a role: in the Members table, pick the new role in the person's row; it saves at once.
  • Remove: press Remove in their row and confirm. They lose access at once and leave its teams.
  • Leave: to remove yourself, use Leave workspace in Settings → Workspace. The only owner cannot leave: hand ownership over first, or delete the workspace.

Transfer ownership#

An owner can hand the workspace — billing included — to one of its admins: Settings → Workspace → Transfer ownership, choose the New owner, and confirm. The new owner becomes owner and you stay on as an admin. To hand it to someone who is not an admin yet, make them an admin first in Members & teams.

Teams#

Teams are optional. Use them when some projects should be visible only to the people who work on them.

  1. In Settings → Members & teams, under Teams, fill in New team (a Name and a Description (optional)) and press Create team. A workspace can have up to 100 teams.
  2. Open the team and Add a member from the workspace's members.
  3. Under Projects, Assign a project to the team.
  4. Set Who can see it for each project: Everyone in the workspace, or Assigned teams only.

A project set to Assigned teams only appears in Projects, and opens, only for the members of its teams — and for every owner and admin, who always see everything. A project visible to everyone is open to every member either way.

Deleting a team (the Delete … button under Team settings on its page) keeps its people in the workspace; projects visible to assigned teams only stop being visible to its members, unless another of their teams has them.

Projects#

  • New project on Projects asks for a Project name, a Brief (what kind of channels, for whom, what to avoid), the Audience, the Language and the Channels wanted, then Create and research niches. See Niche research.
  • Start a channel can also make the project for you; see Schedules and autopilot.
  • On a project's page, Rename changes its name and Pause project stops everything in it — nothing generates or posts for its channels until Resume project.

Workspace settings#

Settings → Workspace (admins and owners change it; everyone sees it):

SettingWhat it does
Workspace nameThe name everyone in the workspace sees, up to 60 characters
Default time zoneThe clock new channels post on; each channel can change its own
Default languageThe language new projects are researched, written and voiced in

Details shows the workspace's ID (quote it to support), its address, plan, members, creation date and your role. The same page holds Transfer ownership, Leave workspace and Delete workspace — see Your account and sign-in.

Credits and plans#

Workspaces, roles and teams cost nothing. How many projects, channels and seats a workspace has depends on its plan — the comparison on Pricing lists them. An agency's clients count towards the agency's projects and channels: see Agency mode.

Good to know#

  • Every change to members, roles, teams and settings is recorded in the workspace's audit log.
  • In agency mode, an agency's owners and admins work in a client's workspace without being its members; see Agency mode.
